AxonChat is a product of Axonwise Technologies. This Privacy Policy describes how we collect, use, store, and protect information when you use the AxonChat platform — including the dashboard, website, and chatbot widgets embedded on third-party websites.
By using AxonChat, you agree to the practices described in this policy.
1. Who This Policy Applies To
This policy applies to:
- Platform users — businesses and individuals who sign up to create and manage chatbots on AxonChat
- Website visitors — end users who interact with an AxonChat-powered chatbot embedded on a third-party website
2. Information We Collect
From Platform Users (Dashboard)
- Name and email address provided during registration
- Password (stored in encrypted form; we never store plaintext passwords)
- Documents uploaded to train chatbots (PDFs, text files, Word documents)
- Chatbot configurations, appearance settings, and behavior preferences
- Billing information processed via our payment provider (we do not store card details)
- Usage data such as login timestamps and dashboard activity
From Website Visitors (Chatbot Widget)
- Conversation messages sent to and received from the chatbot
- Name, email address, and phone number — only if voluntarily provided by the visitor during a conversation through the lead collection feature
- A randomly generated visitor identifier stored in the browser to maintain conversation continuity across sessions
- Technical information such as IP address and browser type, collected automatically
3. How We Use Information
We use collected information solely to operate, maintain, and improve the AxonChat service. Specifically:
- To create and run chatbots on behalf of platform users
- To process uploaded documents and generate relevant chatbot responses using AI
- To surface analytics and conversation history to the chatbot owner
- To collect and display leads generated through chatbot conversations
- To process subscription payments
- To send transactional emails such as account confirmations and password reset links
- To investigate and prevent security incidents, abuse, or unauthorized access
- To respond to support requests
We do not use your data for advertising, and we do not sell your data to third parties.
4. AI and Third-Party Processing
AxonChat uses OpenAI to power chatbot responses. When a visitor sends a message to a chatbot, the message and relevant excerpts from the uploaded documents may be sent to OpenAI to generate a response. This processing is governed by OpenAI's data usage policies.
We do not use your uploaded documents or conversation data to train our own AI models or any third-party models.
We select AI service providers who offer API data isolation and do not use API inputs for model training by default.
5. Payments
Subscription payments are processed by Razorpay. AxonChat does not store full payment card numbers or sensitive financial credentials. All payment data is handled directly by Razorpay under their privacy and security policies.
6. Data Ownership
Platform users retain full ownership of:
- Documents they upload
- Chatbot configurations they create
- Conversation data and leads generated by their chatbots
AxonChat processes this data on your behalf as a data processor. You are the data controller for content you upload and conversations collected through your deployed chatbots.
7. Data Sharing
We do not sell, rent, or trade personal data. We share data only in the following limited circumstances:
- With AI providers (such as OpenAI) solely to generate chatbot responses
- With payment processors (Razorpay) to handle subscription billing
- With infrastructure providers for hosting, storage, and monitoring — all under confidentiality obligations
- When required by law — in response to a valid legal request, court order, or regulatory obligation
- In a business transfer — if AxonChat is acquired or merged, user data may be transferred as part of that transaction, with prior notice given
8. Cookies and Session Management
We use cookies and browser storage for the following purposes:
- Authentication: Maintaining your logged-in session securely using HTTP-only cookies
- Widget continuity:Storing an anonymous visitor identifier in the browser's local storage so chatbot conversations persist across page reloads
- Analytics: Understanding how the platform and marketing pages are used
We do not use third-party advertising cookies.

10. Security
We implement the following measures to protect data:

- Encrypted storage for passwords and sensitive credentials
- Access token authentication for chatbot widget connections
- Restricted internal access to production systems
- Monitoring and alerting for anomalous activity
No system is completely immune to risk. We commit to notifying affected users promptly in the event of a data breach that affects their personal information.
11. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Object to or restrict certain processing
- Receive a copy of your data in a portable format
